Water, Fire and Mold Insurance Claims: How Onyx Handles the Process

You have a loss and a policy and no idea how the two connect. Here is what is usually covered, what usually is not, and exactly what Onyx does so your adjuster has a complete file.

Most claim problems come from missing evidence, not from the damage. The adjuster sees the loss days after it happened, after things were moved, dried or thrown away. What gets paid depends on what can be shown about the cause, the extent and the timeline.

Onyx documents the loss from the first visit: photos of the source and every affected room, moisture readings and thermal images, a materials list of what has to come out and why, and a written scope. We work with your adjuster through the process and answer their questions about the scope. Coverage decisions are your insurer's; our job is to make sure nothing is missing from the record. One thing we do not do is promise what your policy will pay.

What Onyx does on a claim

This is the process, in order.

  • Photograph the source of the loss and every affected area before anything is moved
  • Record moisture readings and thermal images that show the extent behind surfaces
  • List every material removed and the reason, with photos of each
  • Write a scope for mitigation and for rebuild in the format adjusters expect
  • Meet or speak with your adjuster on site or by phone and walk through the scope
  • Keep drying logs and progress photos through the job
  • Deliver a complete documentation package at close-out

Water damage insurance claim tips

What you can do in the first day to protect the claim.

  • Call your insurer and get a claim number before the adjuster visit; you do not have to wait for the adjuster to start mitigation
  • Photograph and video everything with timestamps before you move it
  • Keep damaged materials until the adjuster has seen them or approved disposal, unless they are a health hazard
  • Keep receipts for anything you spend to limit the damage
  • Write down the date and time you discovered the loss and what you saw
  • Do not sign anything from anyone that assigns your claim or benefits without reading it

The general rule on coverage

Standard homeowner and commercial property policies commonly cover sudden and accidental damage. They commonly exclude damage from long-term leaks, lack of maintenance, groundwater, surface flooding and, often, sewer backup unless you bought that endorsement. Mold is usually covered only when it results from a covered loss, often with a dollar cap.

FAQ

Questions we get on this work

Does insurance cover water damage from a broken pipe?

A pipe that bursts or fails suddenly is one of the most commonly covered water losses. The resulting damage to floors, walls and contents is usually included. A pipe that has been dripping for months is a different story; that often falls under exclusions for long-term leaks. We document the failure point and the condition of the surrounding materials so the cause is clear.

Does insurance cover water damage from a roof leak?

Usually yes if the roof was damaged by a covered event such as wind, hail or a fallen tree. Usually no if the leak is from age, wear or lack of maintenance. Note that the roof repair and the interior water damage can be treated differently. We photograph both the roof damage and the interior so your adjuster can connect them.

Does insurance cover water damage from rain?

Rain that enters through a storm-created opening is commonly covered. Rain that pools on the ground and enters at grade or below is generally considered flood and is excluded from standard policies; flood coverage is a separate policy. Rain through a roof that was already failing is often excluded as maintenance. The path the water took decides the answer.

Does insurance cover water damage from an AC unit?

Sudden failures like a cracked drain pan or a clogged condensate line that overflows once are often covered for the resulting water damage, though repair of the unit itself usually is not. Slow condensation drips that have been going on for a while typically are not covered. We document the source and how long the materials appear to have been wet.

Does insurance cover water damage in a basement?

Depends entirely on the cause. Burst pipe or failed water heater in the basement: commonly covered. Groundwater seepage through the foundation or surface flooding: excluded without flood coverage. Sewer or drain backup: excluded unless you have a water backup endorsement, which is inexpensive and worth asking about. We identify the source on the first visit.

Does insurance cover water damage from leaking pipes?

This is the hardest one. A slow leak inside a wall that went unnoticed for a long time is frequently excluded as gradual damage, even though you could not have seen it. Some policies cover the sudden part of the damage but not the long-term part. Documentation of the condition of the materials matters most here.

Does insurance cover mold remediation?

Usually only when the mold is the result of a covered sudden loss, and many policies cap mold coverage at a set dollar amount. Mold from humidity, gradual leaks, or lack of ventilation is commonly excluded. If you have a covered water loss, fast drying is the best protection: it prevents the mold and the argument.

Does insurance cover fire damage?

Fire is consistently covered under standard policies. Smoke damage, firefighting water damage, board-up and loss-of-use lodging are normally part of the same claim. We document all of it so the claim is complete.

Do you bill my insurance company directly?

We document the loss and work with your adjuster. Payment terms are agreed with you when the scope is set. Ask us about arrangements when you call rather than assuming the insurer pays us directly.

What if my claim is denied or the payout is too low?

Ask the adjuster for the reason in writing and compare it to the documentation. Our photos, readings and scope give you something concrete to dispute with. For a denied claim, a public adjuster or an attorney is the right next call; we are not either, and we will say so.
